How do I create an email responder?

Sunday, March 22nd, 2009

We’ve received numerous requests to publish a demonstration video explaining how to create an customize email autoresponders, depending on your needs.  I posted the demonstration video under the FAQ page.

To quickly recap the video, here’s how to create an autoresponder:

  1. Select an email account that the autoresponder will run on
  2. Type the “from name” and “from email address” — email replies will appear to be sent from the name and email address you specify
  3. Create the subject and message using any number of dynamic variables, including the recipient’s first name, last name, full name, or email subject
  4. Determine how the email responder should “act”:

Immediately
:  Send an auto-reply for each message received (you can customize this so that it only sends only one message total to the recipient, regardless of the number of messages they send to you)

Response Interval:  Instead of sending an auto-response for each message received, Email Responder Pro can be set up to send only one email in a given time frame, regardless of the number of messages sent by a single person.

Follow-up & Delay:  This will send a follow-up message any number of days after the first email is received — this is very beneficial for any organization.  Think about it, you could set it up to send a follow-up thank-you letter one week after a new lead emails you (you could include a list of promotions or a full list of services that your organization provides to drum up additional business from the new lead.)
